Google Workspace for Education: Additional Services & Parent Consent

Pleasantdale School District 107 uses Google Workspace for Education to support teaching, learning, communication, and collaboration throughout the district.

Google Workspace for Education includes two general categories of services: Core Services and Additional Services. Google treats these categories differently, particularly when students under the age of 18 access certain Additional Services. As a result, schools are asked to inform parents and guardians about these services and obtain consent when appropriate.

  • Core Services are the primary educational tools provided through Google Workspace for Education. These include services such as:

    • Google Classroom
    • Google Drive and Docs
    • Gmail
    • Google Calendar
    • Google Meet
    • Google Sites
    • Google Keep
    • Google Tasks

    These services are managed by Pleasantdale School District 107 and are used as part of our regular instructional and educational environment.

    Google states that advertisements are not displayed in Google Workspace for Education Core Services, and personal information collected through Core Services is not used for advertising purposes

  • Google also provides other services that can be used with a student's district-managed Google account. Google refers to these as Additional Services.

    Examples may include services such as:

    • Google Photos
    • Google Maps
    • YouTube
    • Other Google tools that may support classroom instruction, research, creativity, and digital learning

    Not every Google service is automatically available to students. The District controls which services students may access with their school-managed accounts.

    These Additional Services can provide useful educational experiences but may operate under different privacy and data-use terms than Google Workspace Core Services. Because of those differences, Google requires schools to provide families with information about these services and, when applicable, obtain parent or guardian consent for students under 18.

     

  • Pleasantdale School District 107 enables a selected group of Additional Google Services for students through their District-managed Google Workspace for Education accounts. These services provide students and teachers with additional tools that may support classroom instruction, research, creativity, collaboration, and digital literacy.

    Enabling a service does not mean that every student will use every service. Teachers will review and evaluate the content and educational appropriateness of these tools before incorporating them into classroom instruction. Teachers may incorporate these tools when they are age-appropriate and aligned with an educational activity or learning objective. Student use remains subject to District technology expectations, internet filtering, and other applicable District policies and procedures.

    Google Alerts

    Allows students to monitor newly published online information related to a research topic, current event, or area of study.

    Google Arts & Culture

    Provides virtual access to museums, artwork, historical collections, cultural landmarks, and educational exhibits from around the world.

    Google Books

    Provides access to searchable books, excerpts, reference materials, and other published works that can support literacy and research activities.

    Google Earth

    Provides interactive maps, satellite imagery, 3D geography, and virtual exploration that can support science, social studies, geography, and other areas of instruction.

    Google Maps

    Allows students to explore locations, distances, geography, landmarks, and other map-based information as part of classroom activities.

    Google Photos

    Provides tools for organizing and working with photos and images that may be used in classroom projects, presentations, and other learning activities.

    Google Translate

    Provides translation tools that can assist students in understanding words, phrases, websites, and other content across multiple languages.

    Scholar Profiles

    Supports research activities by providing access to information about scholarly authors, publications, citations, and academic research.

    Third-Party App Backups

    Allows compatible educational applications to save supported application data to a student's Google account when needed.

    YouTube

    Provides access to educational videos, demonstrations, documentaries, tutorials, and other multimedia resources that may supplement classroom instruction.

  • These services are enabled for District-managed student Google accounts. Pleasantdale School District 107 periodically reviews available Google services and may add, remove, or adjust access as instructional needs, privacy requirements, security considerations, and technology practices change.

    The District's goal is to provide students with access to useful digital learning resources while maintaining appropriate safeguards for student privacy, security, and responsible technology use

  • Pleasantdale School District 107 is collecting parental consent in order to comply with the requirements of our Google Workspace for Education agreement for the use of certain Google Additional Services by students.

    As part of this process, families are also being informed about the types of Additional Services that may be made available to their child through their District-managed Google account.

    Providing consent does not give students unrestricted access to all Google products or services. Pleasantdale continues to manage student accounts and determines which Additional Services are enabled and appropriate for use within our educational environment.

    Consent for Google Additional Services is separate from the District’s use of Google Workspace for Education Core Services, which are used as part of the District’s regular instructional and operational environment.

  • The type of information collected depends on the Google service being used.

    For Google Workspace Core Services, information may include account information, activity within enabled services, device and browser information, and information necessary to operate, secure, and maintain the service.

    When students use Additional Services, Google may also collect information related to their activity within those services. Depending on the service, this could include searches, videos viewed, content interacted with, uploaded files or media, device information, and general location information.

  • Google states that advertisements are not shown in Google Workspace for Education Core Services and that personal information collected through Core Services is not used for advertising.

    Some Google Additional Services may display advertisements. However, for K–12 users who are designated as under 18, Google states that those advertisements are not personalized based on the student's Google account or past activity.

  • Student Google Workspace for Education accounts are created and managed by Pleasantdale School District 107.

    The District Technology Department controls which Google services are available to students and can manage account settings, reset passwords, restrict access to services, suspend accounts, and take other administrative actions necessary to maintain a safe and appropriate educational environment.
